Automate Job Application process
When the Client came to us, they were looking for a way to automate the Job Application process through their website. Initially their site only displayed the current job openings in the company. The job seeker had to apply for a job by sending the job application either through email or postal mail. This resulted in delays while recruiting the best talent and automating the process was the best solution.


Automate posting of job positions in Clients Website
Client was also looking for an effective way to manage the job postings on their website, which initially happened by manually editing the web page each time an existing posting was filled or a new position was created. These created delays while adding postings and confusions while applying. To avoid these problems, automating the jobs postings was the solution.

 


Enable easy Management and Short listing of received applications
Clients HR personnel also found it difficult to manage the received applications. The applications received through email/postal mail was numerous and filtering/short listing them was both time and resource consuming. So an effective online ‘Search & Filter’ mechanism had become a necessity.

 


Pushing / Exporting short listed Job Applications from the HRM Application to Clients ERP (SAP R3).
One of the major requirements for the Client was that they needed the job applications of the short listed candidates to be directly exported/pushed into their ERP (SAP R3) system. By this they not only avoided investing substantial amounts to implement the recruitment module but also automatically get the details of shortlisted candidates directly into the ERP system.

Key Challenges

The process of integration of the Clients website database with SAP R3 database was complex due to minimal support in the proprietary SAP R3 platform
Creation and design of complex job application forms, which had more than 200 fields to be filled by the applicant

Our Solution

Wizard based application form and Quick Registration
The first step was automating the job application process. This was done by building a Wizard based application form and Quick registration feature. In addition to automating the job application process, this facilitated the ‘Save & Continue Later’ feature, thereby easing the strain for the applicant while filling the application form which has more than 200 fields.
Applicants can register themselves with the system and fill up the application in parts using the ‘Save & Continue Later’ feature. They can save their application form and resume filling it up at a later date based on their convenience.
Secure Admin backend for managing Job postings
This feature enabled Client to effectively manage the job postings in their website. It had the facility to set the date range for displaying the posting on their website. Expired job postings are automatically disabled and removed from public view
Secure HRM module for managing and filtering the job applications
This feature enabled Client to effectively filter/short list the job applications they received based on preset criteria.
Export tool for pushing the job applications into the SAP R3
The major component of the project, the export tool, facilitated the pushing/exporting of the job applications into SAP R3 database. This export functionality was developed using SAP RFC. SAP RFC provides facilities for third party applications to call ABAP function modules within SAP R3. Using this, shortlisted candidates can be auto-pushed into SAP R3 ERP system implemented and from then on the recruitment process is handled by the built in functionality of SAP R3

Business Value Delivered

The automation of the processes involved saved a lot of time and helped reduce strain for both Job applicant and the recruitment team
Our HRM application provided operational ease to both the job applicant while applying for a job and the HR Team while managing the applications.
The project was completed at a fraction of the cost compared to buying the SAP Recruitment module from SAP AG. This saved Client a lot of money.
